QuickBooks Online: Built for the Modern, Mobile Business

QuickBooks Online (QBO) is cloud-based, which means you can access your books from anywhere โ€” your laptop, your phone, your accountant's office, or while traveling for business. This flexibility makes it the right choice for most Florida small businesses today, especially if you:

  • Have remote employees or work from multiple locations
  • Want your bookkeeper or accountant to access your books without emailing files back and forth
  • Need real-time financial data, not just a monthly report
  • Use tools like Shopify, Stripe, PayPal, or Gusto that integrate directly with QBO
  • Value automatic bank feeds and transaction categorization

QBO is subscription-based (starting around $35/month for Simple Start, scaling up for more features) and updates automatically โ€” you're always on the latest version without installing anything.

QuickBooks Desktop: Powerful, But Showing Its Age

QuickBooks Desktop has been around for decades, and it has a loyal following for good reason โ€” it's powerful, handles complex inventory well, and some accountants prefer its reporting depth. It's a better fit if you:

  • Run a manufacturing or wholesale business with complex inventory tracking
  • Operate in an industry with very specific job costing needs
  • Have a single office location and don't need remote access
  • Have a bookkeeper or accountant who specifically recommends it

That said, Intuit has shifted its focus heavily to QBO in recent years. Desktop pricing has increased significantly, and some versions are being discontinued. For most Florida small businesses starting fresh, Desktop is not the recommended path.
